Return, Refund & Cancellation Policy

Kinetix Fitness Club mainly provides fitness services, gym memberships, personal training packages, and digital member services. As these are service-based purchases, this policy explains how cancellations, refund requests, payment errors, and service issues are handled.

1. General Policy

All membership purchases, renewals, personal training packages, class bookings, and related service purchases are subject to the package terms, validity period, and branch rules applicable at the time of purchase.

Once a membership or service is activated and the member has started using the facility, access service, personal training, or related benefits, refunds are generally not provided except in the situations stated in this policy or where required by applicable law.

2. Refund Eligibility

Situation Policy
Duplicate online payment Refund or adjustment may be provided after verification of the duplicate transaction.
Incorrect amount charged due to system or gateway error The excess amount may be refunded or adjusted against a future purchase after verification.
Payment completed but membership/service not activated The service will be activated after verification. If activation is not possible, a refund may be considered.
Member changes mind after purchase Refunds are generally not provided after purchase confirmation or activation.
Unused membership days Unused days are generally non-refundable unless specifically approved by management.
Personal training package Refunds are generally not provided after sessions are scheduled, assigned, or used. Management may consider special cases individually.

3. Cancellation Requests

  • Cancellation requests must be submitted to Kinetix Fitness Club through the branch, official phone number, email, or customer portal where available.
  • Requests should include the member name, phone number, payment date, amount paid, branch, package purchased, and reason for cancellation.
  • Cancellation approval is not automatic and will depend on the package status, usage, activation, and management review.

4. Processing Time

Approved refunds may take 7 to 14 working days to process, depending on the payment method, payment gateway, bank processing time, and internal verification requirements.

5. Refund Method

Refunds, where approved, will normally be made to the original payment method used by the customer. In certain cases, Kinetix Fitness Club may offer package adjustment, extension, credit note, or service substitution instead of a direct refund.

6. Non-Refundable Items and Charges

  • Registration fees, joining fees, administrative charges, and payment gateway charges may be non-refundable.
  • Promotional packages, seasonal offers, discounted packages, and special campaign packages may be non-refundable unless specifically stated otherwise.
  • Used personal training sessions, used class sessions, and already consumed membership periods are non-refundable.

7. Branch Closure, Maintenance, or Operational Changes

If a branch is temporarily closed for maintenance, unavoidable operational reasons, public holidays, or safety reasons, Kinetix Fitness Club may provide an alternative arrangement, extension, branch access option, or other reasonable solution at management discretion.
